EMEX 2010 SHOW HOURS & DEDICATED EVENTS

IAEM uses many methods to drive traffic to the hall, including high value door prizes requiring winners to be present. IAEM dedicates time on the conference program for visits to the EMEX exhibit hall.

Show Management

The word "Management" as used herein shall mean the EMEX staff or the International Association of Emergency Managers in the management of EMEX 2010. Exhibit Manager Clay Tyeryar will be available to exhibitors for the duration of the event.

Show Dates, Set-up and Dismantle

Set-up:

8:00 a.m.-4:00 p.m.
If more time is needed for set-up, please contact IAEM staff for assistance. Vehicle set-ups are to be coordinated with exhibit contractor.

Show Hours & Events: 

Dedicated show hours are provided below. These hours are the times where no other conference sessions will be running, and the focus will be dedicated to EMEX. The show floor will remain open the full day. Exhibitors may choose to be present in their exhibit booth for only the dedicated hours or for the full day.

Vendors may not begin dismantling displays prior to 1:00 p.m. Violation may jeopardize your ability to exhibit in future shows.

Set-up and dismantle must occur by the specified times.

Exhibit Area 

IAEM reserves the right to amend the floor plan if, in its judgment, it is in the best interest of the Exhibition and overall needs of exhibitors. IAEM may relocate any exhibit at any time.

Booth Assignments

Booths will be assigned on a first-come, first-reserved basis to paid exhibitors. All effort will be made to accommodate location preferences. We will attempt to physically separate competitors, and exhibitor cooperation in this regard is appreciated.

Cancellation
50% deposit is due with the booth contract. Total booth cost is due Aug. 1, 2010. Booth cancellations will be accepted through Aug. 1, 2010 (less $250 administrative fee).

Subletting of Space
Exhibitor agrees not to assign, sublet or apportion its space or any part thereof.

Security
Security will be provided during the show and between the exhibit hours. IAEM and EMEX assumes no responsibility for loss or damage by any cause.

Liability
IAEM and EMEX assumes no liability whatsoever for loss or damage through any cause, of goods, or other materials owned, rented or leased by the exhibitor. The exhibitor shall indemnify IAEM and EMEX against and hold it harmless for any complaints, suits or liabilities resulting from the negligence of the exhibitor in connection with the exhibitor's use of the display space.

Service Contractor Desk
Contractors for furniture, labor, electrical service, etc., will maintain a desk in the area during the installation and dismantling periods for the convenience of the exhibitors.

Booth Personnel
The cost of each 10' x 10' booth entitles exhibitors to two booth personnel. These individuals may attend all IAEM programmed meals and the conference sessions. Additional company representatives are welcome and must be registered. The cost will be $250 per person.

Exhibitor Directory
Vendor contact information and a brief description of each exhibitor's service/product will be listed in the "Guide to Exhibitors" program section on the condition that the information is submitted by the exhibitor to EMEX no later than Sept. 24, 2010. Exhibiting companies may run their logo adjacent to their description for a $200 fee, conditional on provision of electronic format artwork via email to wise@iaem.com no later than Sept. 24, 2010. Logo dimensions may not exceed 1¼" (high) x 2" (wide). The logos will be printed in the official colors for the IAEM printed materials.

As bookings are made and contracts received, EMEX will load exhibitor information into the EMEX 2010 Web site to maintain a year-round presence on the Virtual Expo - offering additional exposure and a direct link to your Web site.
